Overview

Location purpose describes what a location is used for—its operational function within your inventory management system. While location type tells you what kind of facility it is (warehouse, retail, etc.), location purpose tells you why you're using that location.

Key Point: Purpose drives business workflows and inventory status.


What is a Location Purpose?

A location purpose is the operational role or function that a location serves in your inventory workflow.

Examples:

  • Storage (normal inventory holding)
  • Sales (customer-facing inventory)
  • Production (manufacturing consumption)
  • Quarantine (quality inspection holding)
  • Shipping (outbound staging)
  • Receiving (inbound staging)

Why Purpose Matters

  1. Workflow Automation: Different purposes trigger different processes
  2. Inventory Status: Purpose indicates item availability
  3. Access Control: Restrict operations based on purpose
  4. Reporting: Analyze inventory by operational function

Common Location Purposes

1. Storage

Description: Standard inventory storage for available items

Meaning: Items here are available for use

Characteristics:

  • Active inventory
  • Can be sold or used in production
  • Normal warehouse operations
  • Most common purpose

Examples:

  • Main Warehouse - Zone A
  • Active Storage Area
  • General Inventory

Typical Workflows:

  • Items received → Quality approved → Move to Storage
  • Production needs components → Pick from Storage
  • Customer orders → Ship from Storage

2. Sales

Description: Customer-facing sales locations

Meaning: Items available for immediate customer purchase

Characteristics:

  • Retail environments
  • Display inventory
  • Direct customer access
  • Point-of-sale transactions

Examples:

  • Retail Store Floor
  • Display Area
  • Sales Counter

Typical Workflows:

  • Replenish from warehouse
  • Customer purchases
  • Returns processing

3. Production/Manufacturing

Description: Areas where items are used in manufacturing

Meaning: Items consumed in production or produced as output

Characteristics:

  • Work-in-progress
  • Component staging
  • Assembly lines
  • Finished goods output

Examples:

  • Production Floor - Line 1
  • Blending Area
  • Assembly Station
  • Component Staging Area

Typical Workflows:

  • Components moved from storage → Production staging
  • Assembly transaction consumes components
  • Finished goods produced
  • Finished goods moved to storage

4. Quarantine/Inspection

Description: Holding area for items pending quality approval

Meaning: Items are not available for use until released

Characteristics:

  • Temporary status
  • Quality control required
  • Restricted access
  • Items cannot be sold or consumed

Examples:

  • Quarantine Zone
  • Quality Inspection Area
  • Hold - Pending Approval

Typical Workflows:

  • Items received from supplier → Quarantine
  • Quality inspection performed
  • Pass: Move to Storage (available)
  • Fail: Move to Damaged/Rework

5. Damaged/Rework

Description: Items that are defective or need repair

Meaning: Items are not available for normal use

Characteristics:

  • Segregated from active inventory
  • May have reduced/zero value
  • Require rework or disposal
  • Not counted in "available" inventory

Examples:

  • Damaged Goods Area
  • Rework Station
  • Scrap Bin

Typical Workflows:

  • Identify damaged items → Move to Damaged area
  • Option 1: Rework/repair → Return to Storage
  • Option 2: Scrap → Stock adjustment (write-off)
  • Option 3: Return to supplier

6. Shipping/Outbound

Description: Staging area for items being shipped out

Meaning: Items are allocated to customers but not yet shipped

Characteristics:

  • Temporary holding
  • Picked and packed
  • Awaiting shipment
  • Reserved for specific orders

Examples:

  • Shipping Dock
  • Outbound Staging Area
  • Loading Zone

Typical Workflows:

  • Pick items from storage → Move to Shipping
  • Pack for customer
  • Create sales shipment transaction
  • Load on truck

7. Receiving/Inbound

Description: Staging area for items arriving at the facility

Meaning: Items just arrived, pending putaway

Characteristics:

  • Temporary holding
  • Unprocessed receipts
  • Awaiting inspection or putaway
  • Not yet in storage system

Examples:

  • Receiving Dock
  • Inbound Staging Area
  • Unloading Zone

Typical Workflows:

  • Truck arrives → Unload to Receiving
  • Create purchase receipt transaction
  • Inspect (if required)
  • Move to Quarantine or Storage

8. Returns/RMA

Description: Area for processing customer returns

Meaning: Returned items pending disposition

Characteristics:

  • Temporary status
  • Inspection required
  • May be resold, reworked, or scrapped
  • Customer return processing

Examples:

  • Returns Processing Area
  • RMA (Return Merchandise Authorization) Zone
  • Customer Returns Dock

Rule 1: Purpose Determines Availability

Available for Use (can be sold/consumed):

  • Storage
  • Sales

Not Available for Use:

  • Quarantine (pending approval)
  • Damaged (defective)
  • Receiving (not yet processed)
  • Shipping (already allocated)

Rule 2: Purpose Restricts Operations

Quarantine Locations:

  • ✗ Cannot use in production

Storage Locations:

Shipping Locations:

  • ✗ Cannot reallocate to another order (already committed)

Rule 3: Purposes Guide Inventory Queries

Question: "How much inventory do we have available to sell?"

Query: Sum inventory at locations with purposes:

  • Storage ✓
  • Sales ✓

Exclude:

  • Quarantine ✗ (not approved)
  • Damaged ✗ (defective)
  • Shipping ✗ (already sold)
  • Production ✗ (being used in manufacturing)

Common Questions

Q: Can a location have multiple purposes?

A: No. Each location has one primary purpose.

However, you can create multiple child locations with different purposes:

Example:

  • Main Warehouse (parent)
    • Receiving Dock (Purpose: Receiving)
    • Active Storage (Purpose: Storage)
    • Shipping Dock (Purpose: Shipping)

Q: Can I change a location's purpose later?

A: Yes, but with caution:

  • Existing inventory at that location may change status
  • Historical transactions reference the purpose
  • Workflows may be affected

Example: Changing from "Storage" to "Quarantine" would make all items unavailable.

Q: What purpose should I use for a general warehouse?

A: Storage is the default for general inventory holding.

Reserve special purposes (Quarantine, Shipping, etc.) for specific operational areas.

Q: Do I need all these purposes?

A: No. Use only the purposes that match your actual operations.

Minimum:

  • Storage (essential)

Common:

  • Storage + Receiving + Shipping

Advanced:

  • Storage + Receiving + Quarantine + Production + Shipping + Damaged + Returns

Best Practices

1. Match Purpose to Operational Reality

Don't create:

  • Quarantine purpose if you don't do quality inspections
  • Returns purpose if you don't process returns

Do create:

  • Purposes that match your actual workflows

2. Use Purpose to Drive Workflows

Automated Rules:

  • Items in Receiving → Automatically route to Quarantine (if quality inspection required)
  • Items in Quarantine → Lock from sales until approved
  • Items in Damaged → Exclude from "available" calculations

3. Separate Temporary from Permanent Purposes

Temporary (items shouldn't stay long):

  • Receiving
  • Shipping
  • Quarantine
  • Returns

Permanent (items can stay indefinitely):

  • Storage
  • Sales

Monitor: Items that sit too long in temporary locations (workflow issue)

4. Document Purpose-Specific Rules

For each purpose, document:

  • What operations are allowed
  • What status items have
  • How long items typically stay
  • Who has access

Example:

Quarantine Purpose Rules:
- Items must pass QC before leaving
- Maximum hold time: 72 hours
- Cannot be sold or consumed
- Quality team has access
- Auto-alert if items exceed 72 hours
