Customer transactions
Customer transactions is the subledger view of everything posted against your customers - every sales invoice, return (credit note), payment, and refund - the moment a document is posted, not before. It can be opened two ways:
- Global view: Navigate to Accounts receivable > Customers > Global transactions, or select Global transactions from the Customers list toolbar. Shows every customer's transactions in one list.
- Single-customer view: Open a customer's details page and select Transactions, or select a customer row on the Customers list and choose Transactions. Shows only that customer's transactions.
Both views are the same page with the same columns and actions - the only difference is whether the Customer column is needed to tell rows apart.
Filtering
- Search: Free-text filter matched against any column value.
- Status:
All,Open, orClosed- a transaction closes once it is fully settled (its balance reaches zero). - From Date / To Date: Restricts the list to transactions within a date range.
Reading the amount columns
Every transaction amount and balance is shown in three currencies side by side - transaction currency (the currency the document was raised in), accounting currency (the ledger's own currency), and reporting currency - each with its own currency code column.
A Sales invoice increases what the customer owes and is a debit; a Payment, Refund, or Return/Credit note decreases it and is a credit. Rather than printing a minus sign, the grid encodes this by alignment: a debit amount sits at the left of its column, a credit amount sits at the right (and both are shown as a plain positive number). Scanning a column top to bottom, figures on the right are the ones reducing the customer's balance.
Viewing settlements
Select a single transaction row and choose View settlements to see how it was settled - which payment(s), and for how much, were applied against it, its settlement date(s), and its remaining balance after each settlement. An invoice partially paid by one payment and left open shows exactly that: one settlement row for the amount actually applied, with the invoice's own balance column reflecting what's still outstanding.
Viewing voucher transactions
Select a single transaction row and choose Voucher transactions to see the actual General Ledger entries the posting created for that document's voucher - one row per ledger account touched, with its Debit/Credit amounts and Posting type (e.g. Revenue, Customer balance, Sales tax, Cost of goods sold), plus a summary of the voucher's total debit, credit, and balance. This is the same posting a voucher transactions report would show, scoped to just this one document.
