Settle and post sales tax

Settle and post sales tax is the capstone operational process within the ERP Tax Engine. It systematically aggregates all un-settled tax transactions within a designated period, calculates the net corporate liability (or recoverable asset), zeros out the intermediate GL tax accounts, and formally posts the final liability to the governing Tax Authority.

Executing the Settlement

To perform the period-end tax settlement, navigate to Tax > Declarations > Settle and post sales tax.

This action opens a configuration pane where you must definitively specify the parameters of the settlement:

  • Tax period: Select the overarching Sales tax settlement period you wish to process (e.g., UAE VAT Returns - Quarterly).
  • From date: Select the specific starting date of the open calendar interval you are settling.
  • Transaction date: Define the specific calendar date on which the resulting General Ledger settlement voucher should be posted.

The Settlement Period Reference

To ensure operational accuracy, the pane dynamically displays a reference grid of all defined calendar intervals for the selected tax period, along with their current Status (Open or Closed). You must verify you are targeting the correct temporal bucket before proceeding.

Once the parameters are rigorously verified, click Settle and post.

The Settlement Outcomes

When the settlement routine executes, the system performs several critical, concurrent architectural actions:

  1. Account Zeroing: The system aggregates the total Output Tax (Payable) and Input Tax (Receivable) for the specific period. It then posts precise reversing entries to these GL accounts, effectively zeroing out the accumulated tax balances for that timeframe.
  2. Liability Transfer: The net mathematical difference—the actual funds owed to the government—is transferred to the central tax settlement account.
  3. Vendor Invoice Generation: Crucially, if the governing Sales tax authority is mapped to a specific Vendor account, the system automatically generates an approved Vendor Invoice against that account for the net liability amount. This seamlessly transitions the abstract GL liability into a concrete Accounts Payable workflow, ready for formal payment processing.
  4. Period Closure: The selected period interval's status is irreversibly transitioned from Open to Closed, permanently preventing any further operational transactions from posting into that statutory timeframe.

Sales Tax Payments Inquiry

Upon successful execution of the routine, the system automatically redirects you to the Tax > Reports > Sales tax payments inquiry page.

This page serves as the immutable historical audit log of all executed settlements. Each row represents a discrete, finalised settlement event, detailing:

  • The exact Transaction Date when the settlement was executed.
  • The overarching Settlement Period definition.
  • The definitive Voucher number (e.g., TAX-PAY-00006) anchoring the GL posting.
  • The From Date and To Date encapsulating the exact calendar interval that was definitively closed.
