Vendor groups

Vendor groups classify your vendors for reporting and, more importantly, let you configure a set of defaults that are applied automatically whenever a vendor belonging to the group is created. Instead of setting the same Payment term or Sales tax group on every individual vendor, assign the group once and let it supply the default.

Creating a Vendor group

Navigate to Accounts payable > Setup > Vendor groups.

Select New and define:

  • Code: A short, unique identifier (e.g. DOMESTIC, IMPORT). Cannot be changed after the group is created.
  • Description: A clear explanation of the group's purpose.
  • Payment term: The default payment term applied to a new vendor placed in this group.
  • Sales tax group: The default sales tax group applied to a new vendor placed in this group.
  • Account number sequence: An optional number sequence that overrides the module-wide default used to generate a vendor's account number.
Defaults, not enforcement

Assigning a Vendor group only pre-fills the Payment term and Sales tax group when you first select the group on a vendor record - and only into fields that are still empty. Changing a field manually afterwards, on either the vendor or the group, does not retroactively update the other. The Account number sequence override applies once, at the moment the vendor's account number is generated, and cannot be changed for an existing vendor afterwards.

Assigning a vendor to a group

On the vendor's New or Edit form, select the Vendor group field. If the group has a Payment term or Sales tax group configured, those fields are filled in automatically, provided they are not already set.

Referencing a Vendor group in a Vendor posting profile

A Vendor posting profile's setup line can target Group as its Account code, posting a specific summary account for every vendor that belongs to a given group, rather than one line per individual vendor or one blanket line for all of them.

Deleting a Vendor group

A Vendor group cannot be deleted while any vendor is still assigned to it. Reassign or remove the referencing vendors first, then retry the deletion.
