Users
The Users configuration page within the System Administration module is the central control surface for identity and access management across the ERP. Here, administrators provision system access, link authentication credentials to physical personnel records, and assign the security roles that dictate functional authorization.
Accessing User Management
Navigate to System administration > Users.
The primary interface provides a consolidated list of all provisioned accounts within the system. The grid surfaces critical access metrics:
- Username: The unique system identifier used for authentication (e.g.,
admin,John.Smith). - Email: The contact address bound to the user profile, utilised for system notifications and password resets.
- Employee Name: The specific, physical personnel record (managed in the Human Resources module) that this system user is legally bound to.
- Last Login Date: An audit metric tracking the most recent successful authentication event.
Provisioning a New User
To grant a new individual access to the ERP, click the + Add user button on the action toolbar. This will invoke a streamlined creation pane on the right side of the interface.
- Employee: Select the corresponding personnel record from the dropdown.
- Note: The individual must first be established as an Employee within the Human Resources module before they can be provisioned with system access. This creates the crucial link between digital actions and physical accountability.
- User group: Assign the user to a predefined aggregate group for streamlined permission management (optional).
- Username: Define the login identity (e.g., standardising on a
First.Lastnomenclature). - Password: Set the initial, complex authentication credential.
- Roles: This multi-select field is the cornerstone of system security. Assign specific, granular roles (e.g.,
ARManager,HRManager) to dictate exactly which modules, pages, and actions this user is authorised to execute.
Click Create to finalise the provisioning process.
Managing Existing Users
Selecting a user from the primary grid opens the detailed Edit user interface, which is structured to allow modification of access parameters.
General
The General section displays the core identity linkages. Here you can verify the Username, Email, the linked Employee name, and the assigned User group.
While you can alter a user's group or email, extreme caution should be exercised if attempting to sever or alter the linked Employee name. Doing so severs the audit trail connecting historical system actions to the physical individual who performed them.
Roles
The Roles section provides a clear, tabular view of all security roles currently assigned to the user. This dictates their effective permissions boundary across the entire application ecosystem. Modifications to these roles immediately adjust the user's access profile upon their next authentication cycle.
