Leave plans

While a Leave type defines the qualitative category of an absence, a Leave plan governs the quantitative rules. It serves as the master configuration orchestrating how much time off an employee earns, how frequently they earn it, and what balance limits apply.

A single Leave plan can house multiple accrual rules (tiers) for different Leave types simultaneously. For instance, a "Standard Full-Time Plan" might dictate the accrual mathematics for both Annual Leave and Sick Leave within the same administrative unit.

Configuring a leave plan

To establish the overarching accrual rules, navigate to Absence management > Leave plans and select + New.

The General section establishes the chronological parameters applied universally across the entire plan:

  • Frequency: Defines the cadence at which leave is accrued (e.g., Monthly, Annually).
  • Award date: Dictates precisely when the accrued balance is formally deposited into the employee's account within the period (Period start date or Period end date).
  • Start date: The date the plan formally becomes active and available for use within the enterprise.

Accrual tiers

The Accrual tiers section is where the precise mathematical rules are defined. You can create multiple tiers to award differing amounts of time off based upon an employee's tenure (Months of service).

For each tier, configure the following:

  • Leave type: The specific qualitative category this tier applies to (e.g., Annual Leave).
  • Months of service: The minimum tenure required for the employee to qualify for this tier's accrual rate.
  • Accrual amount: The exact quantitative value awarded per frequency period (e.g., 1.25 days per month).
  • Min balance: The lowest allowable balance. This can be configured as a negative value if organisational policy permits employees to "borrow" against future unearned accruals.
  • Max carry forward: The maximum balance permissible to roll over at the anniversary of the period. Balances exceeding this limit are typically forfeited.
  • Grant amount: A one-time initial allocation awarded immediately upon an employee's enrolment in the plan.

Enrolling employees

An employee will not accrue any time off until they are formally bound to a Leave plan.

  1. From the Leave plans list, select the target plan and click Enroll employee.
  2. Define the Enrollment date. This acts as the effective date; the employee cannot accrue any time prior to this date.
  3. Select the target employees from the grid (which displays contextual data such as their Job, Position, and Hire Date to assist in mass selection).
  4. Select Enroll to formally bind the personnel to the plan's mathematical rules.
