Employee self service

The Employee self service (ESS) workspace is a dedicated, role-tailored portal that empowers personnel to independently manage their personal data, monitor their time-off entitlements, and action pending workflow tasks. This decentralisation of administrative tasks significantly reduces the operational burden on the core HR department while ensuring data accuracy at the source.

Accessing the workspace

  1. Navigate to Human resources > Workspaces > Employee self service.
  2. The workspace greets the user with a high-level summary, immediately surfacing critical key performance indicators (KPIs) such as remaining leave balance, pending requests, assigned work items, and the number of team members currently away.

Summary tab

The Summary tab is the primary dashboard, aggregating the most frequently accessed operational data into a single, cohesive view.

Time off balances and leave requests

This section provides complete transparency into the employee's absence entitlements.

  • Time off balances: Visual indicators (circular charts) display the remaining balance for various leave types (e.g., Annual Leave, Sick Leave, Maternity Leave). It provides a granular breakdown including total entitlement, days taken, days pending approval, and the forecasted balance.
  • Leave requests: A detailed ledger of historical and upcoming leave applications. Users can filter this grid by status (e.g., Approved, Declined, Cancelled).
  • Submit a leave request:
    1. Select the + Request leave button located above the leave requests grid.
    2. In the dialogue box, select the appropriate Leave type from the drop-down menu (the system intelligently displays the remaining balance for the selected type).
    3. Define the Start date and End date.
    4. Provide a formal Reason for the request.
    5. Select Submit request to route the application to the designated managerial approval workflow.

Work items assigned to me

This section serves as the employee's operational inbox, listing all pending tasks that require their direct intervention.

  • Tasks may include approving timesheets, completing onboarding checklists, or reviewing quarterly performance forms.
  • Each item displays a priority indicator (e.g., HIGH, MEDIUM, LOW) and a due date to facilitate effective time management.

My role

A read-only summary card reaffirming the employee's current organisational standing, displaying their Job, Department, Position, managerial reporting line, effective dates, and salary basis.

Additional information tab

The Additional information tab allows the employee to review and maintain their core master data.

  • Personal details: Displays foundational demographic information (Name, Date of birth, Nationality, National ID, Marital status).
  • Contact information: Displays the current residential address, personal phone numbers, and work email.
  • Updating information: Employees can select the Edit button to initiate a change request for their personal or contact details. Depending on organisational policy, these changes may be routed for HR approval before being formally committed to the enterprise master record.
