Assignment

The Assignment function tracks the historical and current deployment of personnel across the enterprise structure. While an employee's initial position is defined during onboarding, the assignment mechanism facilitates lateral moves, promotions, and organisational restructuring by managing the temporal link between an Employee and a Position.

Accessing assignment records

Assignments can be viewed directly within a specific employee's profile to review their personal career trajectory.

  1. Navigate to Human resources > Employees management > Employees.
  2. Select a specific employee record to open the detailed view.
  3. Select the Assignments tab.
  4. The upper grid provides a historical ledger of all position allocations for the employee, detailing the Job, Position, Department, Status, and Effective dates.
  5. Below the grid, the Assignment details section provides a comprehensive, read-only expansion of the selected assignment's parameters, including salary basis, salary amount, and managerial reporting lines.

Changing an employee position

When an employee transitions to a new role within the enterprise, their assignment record must be formally updated. The system utilises a 1:N historical mapping, ensuring previous assignments are preserved for audit and compliance purposes.

To execute a position change:

  1. From the employee's detail view, select Change position from the top Action Pane.
  2. A side pane will emerge, titled Transfer the employee to a new position.
  3. The system will display the Current assignment start date (read-only). You must define the Current assignment end date to effectively conclude the extant assignment.
  4. Select the New position from the drop-down menu. The system will automatically resolve and display the corresponding Job and Department linked to that position.
  5. Define the New assignment start date for the incoming role.
  6. Optionally, define a New assignment end date if the deployment is of a temporary or fixed-term nature.
  7. Select the Change position button at the base of the pane to execute the transfer.

The system will automatically conclude the old assignment and construct the new assignment record, thereby preserving an unbroken, non-overlapping timeline of the employee's career progression.

By maintaining a strict temporal history of assignments, the enterprise retains full visibility into organisational changes, which is critical for accurate retrospective reporting and payroll calculations.
