This guide details the specific configuration required to ensure your legal entity's VAT information complies with the Federal Tax Authority (FTA) of the United Arab Emirates. Correctly configuring this data within the Company setup page is a mandatory prerequisite for generating valid electronic VAT returns.

Core Registration Details

The Federal Tax Authority requires precise identification of your business entity.

  • Tax registration number: This is your 15-digit Tax Registration Number (TRN) issued by the FTA. It is the primary key linking your ERP transactions to your governmental tax profile.
    • Example: 100234567800003
TRN Validation

Ensure this number is entered exactly as it appears on your VAT Registration Certificate without spaces or hyphens. The system will embed this TRN into all electronic declarations and outgoing tax invoices.

Multilingual Reporting Requirements

The UAE is a bilingual jurisdiction for official documentation. VAT returns, tax documents, and FTA correspondence legally require your entity name in both English and Arabic.

  • Taxable person name: Enter your primary legal entity name, typically in English.
    • Example: ACME Perfumes LLC
  • Taxable person name (alternative): Enter your precise legal entity name in Arabic.
    • Example: أكمي للتطوير ذ.م.م

Why Both Are Needed

  1. Electronic Submission: The FTA electronic portals prefer and often mandate bilingual data for comprehensive validation.
  2. Audit Compliance: During an FTA audit, your ERP configuration must mirror your trade license and official government documents exactly.
  3. Invoicing: Compliant tax invoices generated from the system will seamlessly render both the primary and alternative names.

The Declarant Role

  • Declarant name: The name of the actual individual who prepares and assumes responsibility for the VAT declaration.
    • Example: Admin or Fatima Al-Mazrouei

Purpose and Accountability

The FTA necessitates a clear chain of accountability. They require a definitive record of who prepared the tax return, ensuring they have a direct point of contact for inquiries.

Best Practice

The declarant name can and should change to accurately reflect reality. If your Finance Manager prepares the Q1 return, their name should be present. If a Senior Accountant prepares the Q2 return, you must update the Declarant name in the Company setup prior to generating the Q2 return.
