Ledger transaction list

The Ledger transaction list is a comprehensive, designed to present a detailed, chronological breakdown of all ledger activity. While it queries the same foundational data as the Voucher transactions inquiry, this report is specifically grouped and optimised for structured printing, external auditing, and period-end account reconciliation.

Generating the report

To generate the document, navigate to General ledger > Reports > Ledger transaction list. A parameter dialogue will appear, allowing you to tightly define the scope of the data:

  • From date / To date: Defines the specific fiscal period or custom date range for the transactions.
  • Journal number: Optionally filter the output to show only transactions that originated from a specific journal batch.
  • Main account: Allows you to isolate the report to a single specific main account (e.g., just the Cash account) rather than processing the entire chart of accounts.
  • Include reversed: A crucial toggle for auditors. If checked, the report will include transactions that were originally posted but subsequently reversed, providing an unabridged historical audit trail.

Analysing the report structure

The generated report is structurally designed for rapid human readability and systematic reconciliation:

Account Grouping

The data is not presented as a chaotic, flat list. Instead, transactions are categorically grouped by Main Account (e.g., 1000 - CASH, 1010 - BANK ACCOUNT - MAIN). Each dedicated account section calculates a sub-total at the bottom of its respective transaction block, allowing accountants to easily verify the gross movement for that specific node.

Transaction Details

Within each Main Account block, the report details the individual voucher lines, providing:

  • Identification: Date, Journal Number, Voucher, Ledger Account (showing the fully resolved dimension string), and Description.
  • Multi-currency Valuation: The report explicitly segregates the financial impact across the Transaction Currency, Accounting Currency, and Reporting Currency (Debit and Credit columns for each layer) to ensure full visibility into exchange rate mechanics.

Grand Totals

At the absolute bottom of the report, a GRAND TOTAL section aggregates the entire queried dataset. A mathematically sound and balanced ledger will universally display an Accounting Currency Net Difference of 0.00, mathematically proving that total debits equal total credits for the given parameters.
